Cancellation Policy

1. Service Cancellation Request

Clients may request cancellation of services by sending an official request via email to:

Cancellation requests must include:

  • Invoice/payment reference (if applicable)
  • Reason for cancellation

2. Cancellation Before Project Initiation

If cancellation is requested before the commencement of work or service activation:

  • A full or partial refund may be considered
  • Payment gateway charges, taxes, or administrative fees may be deducted

Approval of cancellation remains subject to review by MediCodec.

3. Cancellation After Work Has Started

Once project execution, consultation, campaign setup, software configuration, or development work has started:

  • Cancellation requests may still be accepted
  • Charges for completed work, utilized resources, operational costs, and milestone deliverables will apply
  • Remaining balance, if any, may be refunded at the discretion of MediCodec

4. Non-Cancellable Services

The following services are generally non-cancellable once initiated:

  • Website & software development
  • Digital marketing campaigns
  • SEO services
  • Paid advertising management
  • Healthcare IT implementation
  • Dashboard & analytics development
  • AI automation setup
  • Graphic design & branding
  • Domain registration & hosting services
  • Third-party software or licensing purchases

5. Subscription & Recurring Services

For recurring or subscription-based services:

  • Clients must request cancellation before the next billing cycle
  • No partial refund will be provided for ongoing billing periods already charged

6. Consultation & Appointment Cancellation

Consultation or strategy sessions may be rescheduled with prior notice.

No refund or cancellation may apply for:

  • Missed appointments
  • No-shows
  • Last-minute cancellations

7. Delays Due to Client

If a project is delayed for an extended period due to lack of client response, approvals, documents, or communication, MediCodec reserves the right to:

  • Put the project on hold
  • Close the project
  • Apply reactivation charges if work resumes later

8. Cancellation by MediCodec

MediCodec reserves the right to suspend or cancel services in cases involving:

  • Non-payment
  • Fraudulent activity
  • Misuse of services
  • Violation of applicable laws or policies
  • Abusive or unethical behavior

9. Third-Party Charges

Payments made toward third-party providers such as:

  • Hosting providers
  • Cloud services
  • Advertising platforms
  • SMS/WhatsApp APIs
  • Licensed tools/software

are subject to their own cancellation and refund policies and may not be recoverable.

10. Policy Updates

MediCodec reserves the right to modify this Cancellation Policy at any time without prior notice.

Continued use of our services indicates acceptance of the updated policy.
